Last updated: {{last updated}}
In short: This privacy policy explains how Laser Istanbul Clinic looks after your personal information. We collect only what we need to answer you, review your eyes with one of our three surgeons and, if you go ahead, plan your treatment in Istanbul. Your eye reports are seen only by the people who need them. We never sell your data, and you can ask us to see, correct or delete your information at any time by writing to {{privacy contact email}}.
This policy applies to the website laseristanbulclinic.com in every language, our consultation and contact forms, our online eye test and other tools, and the messages you send us by WhatsApp, email or phone (together, "our services"). Our services are run by {{company legal name}}, {{address}} ("we", "us").
1. What information we collect
We collect the information you choose to give us, plus a small amount of technical information when you use the website.
| What | When we collect it | Why |
|---|---|---|
| Your name, country, preferred language, WhatsApp number, email and phone number | When you fill in a form, message us or call | To reply to you in your language |
| Your eye information: glasses prescription, scans, eye reports, photos of your eyes, symptoms, eye history and general health questions | When you upload files, describe your eyes or send them by WhatsApp or email | So a surgeon can review your case |
| Your online eye test result | Only if you choose "Send my result to a surgeon" | So the surgeon can see it with your other information |
| Travel details: arrival and departure dates, flight times, who is travelling with you | When you plan your visit with us | To book your examination and surgery dates and, if you ask, your hotel and transfers |
| Your messages and our notes of calls | When you write to us or speak to your coordinator | To keep your case in one place and avoid asking you twice |
| Your review, story, photos or video | Only if you agree to share them | To publish them on our website, with your consent |
| Technical information: device and browser type, pages visited, the page that sent you to us, approximate location from your IP address | When you use the website | To keep the website working and safe and, only with your cookie consent, to understand which pages help patients |
You don't have to give us your eye information to ask a question. Without it, though, a surgeon can only give a general answer.
2. How we use your information
We use your information to:
- answer your questions and send you the replies, quotes and documents you ask for;
- pass your case to the right surgeon for a first opinion;
- plan your examination, surgery dates, interpreter and coordinator, and, if you ask us, your hotel and airport transfers (these are arranged on request and charged separately);
- look after you after treatment, including remote follow-up once you are home;
- keep the website working, secure and easy to use;
- send you news or offers, but only if you have said yes (see section 10).
We don't use your eye reports or medical information for advertising, and we don't make automated decisions about your treatment. Every medical answer comes from a person: one of our surgeons.
3. Your eye reports and health information
Your prescription, scans and eye reports are personal medical information, so we take extra care with them. We ask for your agreement before you send them: every form has an unticked consent box, and nothing is sent until you tick it. By ticking it, you agree that we may share your details and eye reports with our surgeons to review your case and contact you.
You can change your mind at any time. Write to {{privacy contact email}} and we will stop using your eye reports for any new purpose and delete them, unless you have already had treatment with one of our surgeons (see section 6).
4. Who sees your information
Only the people who need it to help you:
- Your surgeon. Your case is reviewed by one of our three surgeons: Prof. Dr. Ahmet Satıcı, Doç. Dr. Muhammet Derda Özer (Doç. means Associate Professor) or Op. Dr. Aysan Bayram. If you chose a surgeon, they review it.
- Your patient coordinator {{confirm, and list any other role, e.g. interpreter}}, who arranges your visit and keeps in touch with you.
- The medical team caring for you on the day of your examination and surgery in Istanbul, if you go ahead with treatment.
- Hotel and transfer providers, but only your name, travel dates and flight details, and only if you ask us to book them.
- Companies that run our systems for us: {{list of service providers, e.g. website hosting, email, form and file storage, WhatsApp, analytics}}. They may use your information only to provide their service to us, not for their own purposes.
We never sell your data, and we never share your eye reports with advertisers. We share information with others only when you ask us to (for example, sending your reports to your own eye doctor at home) or when we are required to.
5. Where your information is kept
We are based in Istanbul, Türkiye, and your case is handled by our team and surgeons there. Some of the companies that run our systems may store information in other countries: {{countries where service providers store data}}. Wherever your information is kept, we expect the same level of care described in this policy.
6. How long we keep your information
We keep your information only as long as we need it:
- If you don't go ahead with treatment, we delete your uploaded files and enquiry details within {{enquiry retention period, e.g. 12 months}} of our last contact, or sooner if you ask.
- If you have treatment, your medical records are kept as part of your medical care, so your surgeon can look after you and answer questions about your eyes in future, for {{medical record retention period}}.
- If you've said yes to news and offers, we keep your name and contact details for that purpose until you unsubscribe.
- Website analytics are kept in a form that doesn't name you, for {{analytics retention period}}.
7. How we protect your information
We use practical steps to keep your information safe:
- the website and every form use an encrypted (HTTPS) connection;
- uploaded files are scanned for viruses and stored in a private area of our system, never on a public web page;
- we don't send your eye reports as email attachments between our team;
- only the people listed in section 4 can open your files, and they use their own accounts;
- online eye test results are passed to the consultation form inside your browser, never in the web address.
No system is perfectly secure. If something ever goes wrong that could affect you, we will tell you promptly and explain what we are doing about it.
8. Cookies and analytics
Cookies are small files that a website saves in your browser. We use a few essential cookies that the website needs to work. We use analytics cookies, which help us see which pages patients find useful, only if you accept them in our cookie banner. You can change your choice at any time with the "Cookie settings" link in the footer. Our cookie policy, also linked in the footer, lists each cookie and how long it lasts.
9. The online eye test and other tools
Our online eye test runs entirely in your browser. Your answers and result stay on your device unless you choose "Send my result to a surgeon". To save you calibrating your screen each time, the test remembers your screen size setting in your browser's local storage; you can clear it by clearing your browser's site data. If you have accepted analytics cookies, we count anonymous events such as "test started" and "test completed", never linked to your name or your result.
Our suitability quizzes and lens finder work the same way: nothing you enter is sent to us unless you ask to send it.
10. Messages from us
We contact you about your enquiry and treatment by the method you chose: WhatsApp, email or phone. We won't call you without asking first.
We send news, offers or reminders only if you have said yes. Every marketing email has an unsubscribe link, and on WhatsApp you can simply reply "stop". Saying no never affects your care.
11. WhatsApp, email and phone
Many patients send prescriptions and reports by WhatsApp because it's easy. WhatsApp says personal messages, photos and calls are end-to-end encrypted, so only you and the person you message can read them. Once your message reaches our coordinator, we treat it like the rest of your file. If you'd rather not use WhatsApp, use the upload on our forms or email us instead.
Please don't post eye reports or personal medical details in public comments or on social media pages, where anyone can see them.
12. Your choices
You stay in control of your information. At any time, you can ask us to:
- show you the information we hold about you and send you a copy;
- correct anything that is wrong or out of date;
- delete your information (we keep only what your medical care requires after treatment, see section 6);
- stop using your eye reports or sending you news and offers;
- send your reports and our notes to you or to your own eye doctor.
Write to {{privacy contact email}} from the email address or WhatsApp number you used with us, so we can check it's you. We will reply within {{privacy reply time, e.g. 30 days}}, and there is no charge.
13. Children
Our services are meant for adults. If a patient is under 18, a parent or guardian should contact us, send the information and agree to its use on the child's behalf.
14. Links to other websites
Our pages link to other websites, such as medical organisations and research papers, for further reading. We don't control those websites, and their own privacy policies apply when you visit them.
15. Changes to this policy
We may update this privacy policy when our services or the systems we use change. The date at the top of this page shows when it was last changed. If we make an important change, we will also tell patients we are in touch with.
16. Contact us
